Billing booked time vs actual time - core facility invoicing

    Good afternoon,
For schools that use a billing software (such as iLab, Stratocore, etc) to invoice recharge center/core facility instrument time usage, what are your guidelines for billing in compliance with the federal regulations? Are you billing booked time or real time (actual) usage? How do you handle no shows and late cancellations? If you have written billing guidelines or policy that you can share, it would be greatly appreciated.

    Thanks,

    Hi Melissa –

Purdue uses iLabs. We bill actual time. We only allow billings for no shows or cancellations if there is a true tangible cost to the cancellation. This would not include lost opportunity costs only materials or labor that were directly related to that experiment/procedure that were lost since the experiment/procedure did not occur.

    Best Regards,

    Kim
